Check-In
The check-in desk is often the first point of physical contact at the event. A smooth check-in process sets the tone for the entire race day. Adrenaline's check-in tools are designed to be fast, accurate, and flexible to handle real-world scenarios like partial payments and group waivers.
Accessing the Check-In Interface
To open the check-in interface:
- Navigate to your event in the Event Boss dashboard.
- Click on Registrations.
- Find the registration in the list and click Check In.
This opens the two-step check-in flow: Payment → Waivers.
The Two-Step Check-In Flow
Adrenaline's check-in process is divided into two distinct steps to give you maximum flexibility and ensure nothing is missed.
Step 1: Payment Collection
The payment page displays all class entry charges broken down by registrant. Here's what you can do:
- Individual Selection - Uncheck any registrant who isn't paying right now. This is perfect for situations where only some riders in a group are paying.
- Payment Type Selection - Choose how payment was received: Cash, Credit Card, ACH, Venmo, or PayPal.
- Per-Registrant Payment Types - Each registrant can have a different payment method. For example, one rider pays cash while another uses Venmo.
- Global Payment Type - Set a payment type for everyone at once, then override individuals as needed.
- Smart Display - Registrants who already paid (online or previously) won't appear. If everyone has paid, you'll see a confirmation message.
The total dynamically updates based on who you've selected. Click Continue to Waiver when ready.
💡 Pro Tip: Partial Payments
You can skip payment for some registrants and still complete check-in for others. Just uncheck anyone not paying now and proceed. They'll show a "Partial check-in: missing payment" badge in the registration list.
Step 2: Waiver Signing
After payment, the waiver page displays all required legal agreements. Waivers are intelligently grouped and filtered:
- Individual Selection - Check the box next to each participant who is signing waivers.
- Multi-Participant Coverage - Some waivers (like general liability) can cover multiple participants at once. All applicable participants are listed with individual checkboxes.
- Single-Participant Waivers - Other waivers (like parental consent forms) are specific to one person. These show the participant's name in the header.
- Age-Based Filtering - Minors automatically see parental consent forms. Adults don't see minor-specific waivers.
- Smart Display - Waivers already signed (online or previously) won't appear. If all waivers are signed, you'll see a confirmation message.
Each waiver card shows important details like whether a notary is required or if both parents must sign. Click Complete Check-In when all selections are made.
💡 Pro Tip: Partial Waivers
You can complete payment for everyone but only sign waivers for some participants. Just check the boxes for those signing now and proceed. Others will show a "Partial check-in: missing waivers" badge.
Check-In Status Badges
In the registration list, you'll see status badges next to each registrant's name:
- Checked In - Full check-in complete (payment + waivers).
- Partial check-in: missing waivers - Payment collected but waivers not signed yet.
- Partial check-in: missing payment - Waivers signed but payment not collected yet.
- No badge - Nothing done yet.
These badges help you quickly identify what's left to do for each registrant.
Validation & Warnings
The check-in system includes smart validation to prevent mistakes:
- No Selection Warning - If you haven't selected any payment or waiver for any participant, the Complete Check-In button is disabled and a red warning appears.
- Payment Only Info - Yellow info message when payment is collected but no waivers are signed.
- Waiver Only Info - Yellow info message when waivers are signed but no payment is collected.
These warnings ensure you know exactly what's being processed during check-in.
Custom Waivers
Adrenaline supports flexible waiver management at multiple levels:
Event-Level Waivers
Every event can have its own set of required waivers. These are shown during check-in for all participants.
To manage event waivers:
- Go to your event's Admin page.
- Navigate to the Waivers section.
- Add, edit, or remove waivers as needed.
- Configure age restrictions (minimum/maximum age).
- Set whether the waiver covers multiple participants or is per-person.
- Mark if notary or dual parental signatures are required.
Class-Specific Waivers
Some classes may require additional waivers beyond the standard event waivers. For example, an "Expert Open" class might require an advanced skill acknowledgment form.
To add class-specific waivers:
- Go to your event's Classes page.
- Click on the class you want to configure.
- In the class menu, select Waivers.
- Add any class-specific waivers.
During check-in, participants registered for that class will see both the event-level waivers and the class-specific waivers.
Organization Default Waivers
Your organization can set default waivers that apply to all events unless overridden. This is perfect for standard liability releases that apply across all your races.
To manage organization waivers:
- Go to your Organization Admin page.
- Navigate to the Default Agreements section.
- Add season-specific waivers for participants, spectators, or teams.
Waiver Properties
When creating or editing waivers, you can configure:
- Name - Display name shown during check-in.
- Summary Question - Short statement the participant agrees to.
- Full Text - Complete legal agreement text.
- Multi-Participant Coverage - Whether one signature covers multiple people (family waiver) or requires individual signatures.
- Participant Minimum Age - Don't show this waiver to participants younger than this age.
- Participant Maximum Age - Don't show this waiver to participants older than this age.
- Requires Notary - Flag indicating notarization is required.
- Requires Dual Parental Signature - Flag indicating both parents must sign (for minors).
- Participant Signer Only - Whether only the participant can sign (vs. parent/guardian for minors).
Walk-Up Registrations
For walk-up entries who didn't pre-register, click the New Registration button at the top of the registration list. This opens the full registration form.
After filling out the registration form and clicking submit, the check-in flow automatically opens. You'll go through the same two-step process (Payment → Waivers) to complete their check-in immediately.
Editing Registrations
If a registrant needs to change classes, fix a typo, or update their machine details:
- Find the registration in the list.
- Click the Edit button.
- Modify classes, update bike numbers, fix name spellings, or change machine details.
- Click Save.
- Proceed with check-in as normal.
Best Practices
- Verify Details First - Always confirm the registrant's name, bike number, and classes before collecting payment.
- Use Status Badges - Glance at badges to quickly see who needs what.
- Accept Partial Check-Ins - Don't hesitate to check in payment-only or waivers-only. You can complete the other half later.
- Set Payment Types Accurately - Tracking payment methods helps with end-of-day reconciliation and financial reporting.
- Review Waivers Carefully - Make sure all required waivers are checked, especially for minors who need parental consent forms.
- Use Search & Filters - Filter by class or use the search bar to quickly locate registrants in large events.
- Hide Checked-In - Use the "Hide Checked-In" filter to focus on who still needs attention.
Common Scenarios
Scenario 1: Pre-Paid Online Registration
A family pre-registered and paid online. They arrive at the desk to sign waivers.
- Search for their registration.
- Click Check In.
- Payment page shows "All registrants have already paid" - click Continue to Waiver.
- Waiver page shows all family members with checkboxes.
- Check all boxes and click Complete Check-In.
- All family members now show "Checked In" badge.
Scenario 2: Group with Mixed Payment
Three riders arrive together. Two are paying cash, one is paying via Venmo.
- Search for the registration.
- Click Check In.
- All three are selected by default.
- Set global payment type to Cash (updates all three).
- Change the third rider's individual dropdown to Venmo.
- Click Continue to Waiver.
- Check all three riders on the waiver page.
- Click Complete Check-In.
Scenario 3: Payment Now, Waivers Later
A parent pays for their child but forgot to bring the signed waiver from home.
- Search for the registration.
- Click Check In.
- Collect payment and select payment type.
- Click Continue to Waiver.
- Uncheck all waivers (or just click Continue without selecting).
- Click Complete Check-In.
- Rider shows "Partial check-in: missing waivers" badge.
- When they return with the signed waiver, click Check In again and complete the waiver step.
Troubleshooting
Check-In Button is Grayed Out
The registration is already fully checked in. All participants have both payment and waivers complete.
"No Payment or Waiver Selected" Warning
You must select at least one action (payment or waiver) for at least one participant. Check the appropriate boxes and the button will enable.
Waiver Doesn't Show for a Participant
Check the waiver's age restrictions. If the participant is outside the age range, the waiver won't appear. Alternatively, they may have already signed it online or during a previous check-in.
Need to Undo a Check-In
Currently, check-ins can't be undone from the UI. If you accidentally checked in the wrong person or need to reverse a check-in, contact your organization administrator or reach out to Adrenaline support.
